Please read the following T&Cs carefully before tuition commences. If any part of these T&Cs is unclear or you have any questions please do not hesitate to get in touch.
You may also wish to read the Safeguarding and Child Protection Policy, Tutor Code of Conduct and Online Tutoring Code of Conduct, all of which can be found HERE.
Please be aware that agreement of these T&Cs is assumed by the completion of a registration form prior to commencing lessons. If your child will be participating in online lessons via Skype or Teams then completion of a registration form also confirms that you have read and are happy to comply with the Online Tutoring Code of Conduct, and have discussed its expectations/guidelines with your child.
TERMS AND CONDITIONS:
For the purposes of these T&Cs, a 'Student' is defined as a person receiving tuition and a 'Client' is defined as the Parent or Carer of a Student.
Registration
- An online registration form must be completed by the Client prior to a Student's first lesson. Agreement to these Terms and Conditions is assumed by the completing the registration form.
Fees
- Fees for lessons with Miss West are charged upfront on a termly basis (please see the term schedule for dates). Invoices will be sent at least one week before the start of a new term and fees must be settled before that term starts. Miss West Maths Tutoring reserves the right to refuse to tutor any Student whose fees are in arrears.
- Fees for lessons with an Associate Tutor are charged upfront in bulks of 10 lessons at a time. How the lessons in a bulk are to be distributed is to be determined and agreed by the Client and the Associate Tutor. Once the 10th lesson in a bulk has occurred a new invoice will be sent for a new bulk.
- Payments for all lessons must be made via online bank transfer to Miss Hollie West. Business bank details will be provided on your invoice and in your welcome letter.
- The reference for any online payment must be the invoice number for which you are paying.
Lesson Arrangements
- Lessons with Miss West take place either on Teams or at her home.
- Lessons with an Associate Tutor take place either on Teams, Skype or in-person at a location agreed by the Client and the Associate Tutor.
- If a Student will be participating in online lessons via Skype or Teams then the Client must read the Online Tutoring Code of Conduct and discuss its expectations/guidelines with the Student.
- There will be no scheduled lessons with Miss West during Half Terms or School Holidays, but it is usually possible to book additional lessons during those weeks subject to availability. There are separate rates for lessons during Half Terms and Holidays; please see the relevant page. Any lessons that take place in addition to scheduled term-time lessons will be invoiced separately.
- The availability of any Associate Tutor during School Terms, Half Terms and School Holidays is entirely determined by the Associate Tutor themselves. Any arrangements for dates and times of lessons with an Associate Tutor must be made between the Client and the Associate Tutor.
- The Lesson Schedule for weekly and fortnightly lesson with Miss West is subject to change at any time, in which case a reasonable amount of notice will be given to any Clients who will be affected.
- The Lesson Schedule for weekly and fortnightly lessons with Miss West will be updated and changed each academic year; there is no guarantee that a Student will have the same space the following academic year.
Cancellations
- If at least 72 hours’ notice is given to cancel a lesson with Miss West, then it may be possible to rearrange that lesson subject to availability and at the discretion of the tutor.
- If less than 72 hours’ notice is given to cancel a lesson with Miss West, or a student does not show up for their lesson, then no refund will be given and no rearrangement will be offered.
- At least 48 hours’ notice must be given to cancel a lesson with an Associate Tutor. How cancellations with at least 48 hours’ notice are dealt with (e.g. if they must be rearranged within a certain time frame or otherwise taken from your current bulk of 10 lessons) is determined solely by the Associate Tutor themselves, and should be discussed and agreed between the Client and the Associate Tutor prior to commencing tuition.
- If less than 48 hours’ notice is given to cancel a lesson with an Associate Tutor, or a student does not show up for their lesson, then no refund will be given (therefore the lesson will be taken from your bulk of 10) and no rearrangement will be offered.
- If a lesson is cancelled by either Miss West or an Associate Tutor, due to a pre-planned event, illness or unforeseen circumstances, you will be given as much prior notice as reasonably possible. You will not be expected to agree to rearrange the cancelled lesson, but should you wish to do so a discount of £5 will be applied to your next invoice. Should you choose not to rearrange the cancelled lesson then its full fee will be deducted from your next invoice.
Termination of Tuition
- Should you choose to terminate regular tuition with either Miss West or an Associate Tutor (including due to a Year 11 or Year 13 student finishing their exams), at least a term’s notice must be given via email and fully paid.
- Miss West Maths Tutoring and its Associate Tutors reserve the right to terminate tuition with a Student with immediate affect. Reasons for immediate termination could include, but are not limited to, poor attitude, fees in arrears, inappropriate behaviour, repeatedly not showing up for lessons etc.. In the case of a Tutor terminating tuition any payments already made upfront for future lessons will be fully refunded.
Certificates
- All qualification certificates and DBS checks are available to view upon request.
- Public Liability Insurance & Professional Indemnity Insurance certificates and policies are available to view upon request.
The above Terms and Conditions come into effect on the 20th July 2022. They are subject to amendment at any time, in which case Clients will be notified accordingly.
